Privacy policy

This policy explains what Howl Marketing Inc. (“Howl”, “we”) collects, why, and what you can do about it. It covers the howl.marketing website and the Howl QuickBooks connector, the internal tool we use to manage our own accounting in QuickBooks Online.

We are based in Alberta. We handle personal information under Alberta’s Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

The short version

  • We collect what you type into our contact form, and basic analytics about how the site is used.
  • The QuickBooks connector works only on Howl’s own books. It never connects to anyone else’s.
  • We do not sell personal information, and we do not use it for advertising.
  • You can ask what we hold about you, have it corrected, or have it deleted.

On howl.marketing

What you send us

The contact form asks for your name, email address and message, and optionally your organisation. When you send it, we also record the IP address it came from, to help us spot spam.

The form delivers your enquiry by email. It is sent through Google Workspace and received in a Microsoft 365 mailbox. We do not store it in a database or pass it to a form service. We use it to reply to you and, if we end up working together, as part of that project’s records. We keep it only as long as we need it for those purposes.

What the site collects automatically

  • Analytics. Google Analytics 4 counts page views and tells us which pages lead to an enquiry. It records the pages you visit, your browser and device type, and an approximate location derived from your IP address, and it sets cookies to recognise a returning browser. Advertising features and remarketing are switched off. You can block it with Google’s opt-out add-on or any content blocker, and the site works the same.
  • Fonts. Some text is set in a font loaded from Google Fonts, so your browser sends your IP address to Google when it fetches it.
  • Display preferences. If you use the surface or motion switch in the footer, your browser remembers the choice in local storage. It stays on your device and is never sent to us.
  • Server logs. Our host, SiteGround, keeps standard web server logs: IP address, pages requested, time and browser. They are kept for a limited period for security and troubleshooting.

The Howl QuickBooks connector

The connector is a private internal tool. Howl staff use it to read and update accounting records in QuickBooks Online for Howl’s own companies. It is not offered to anyone else, and it does not connect to other businesses’ QuickBooks companies.

What it accesses

Our books contain personal information about the people we do business with: names, email addresses, phone numbers, billing addresses and transaction history for our clients and suppliers. The connector can read and change those records, along with invoices, bills, payments, accounts and financial reports.

It does not access payroll or payments. Sign-in happens on Intuit’s own pages, so the connector never sees an Intuit password.

How we use it

For bookkeeping, invoicing and financial reporting for our own business, and nothing else. We do not use this information for marketing and we do not sell it.

We use an AI assistant, Claude by Anthropic, to help prepare and review accounting records. When we do, the records needed for the task are sent to Anthropic, which processes them in the United States. Our account is set so that this data is not used to train Anthropic’s models.

How it is stored

  • The connection keys Intuit issues, and the app’s own credentials, are stored on Howl-controlled computers, outside any synced or shared folder, readable only by the account that runs the tool.
  • Records stay in QuickBooks. Copies made while working are kept on Howl-controlled computers only as long as the task needs them.
  • Failed requests are logged on the same computers so we can troubleshoot them. The log never contains passwords or connection keys.

Who else handles your information

We use a small number of service providers. Each receives only what it needs to do its job.

We will also disclose information when the law requires it.

Some of these providers store or process data outside Canada, including in the United States. When that happens, the information is subject to the laws of that country and may be accessible to its authorities.

Security

We limit access to the people doing the work, keep credentials out of shared storage, and use encrypted connections to every service above. No system is perfectly secure. If a breach creates a real risk of significant harm to you, we will tell you and report it as the law requires.

Your rights

You can ask us to:

  • tell you what personal information we hold about you and how we have used it
  • correct anything that is wrong
  • delete it, where the law does not require us to keep it
  • stop using it for a purpose you previously agreed to

We reply within 45 days. If you are not satisfied with our answer, you can complain to the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.

If we change this policy, we will update the date at the top. If a change affects how we use information we already hold, we will tell the people it affects before it takes effect.
